Document Certi昀椀cation
All identi昀椀cation documents should be certi昀椀ed
by the person who has seen the original
document where a face-to-face transaction
has taken place.
Where an employee of a dealer or broker has
taken a copy of original documentation (for
example, a passport or driving licence) provided
by a Customer who met face-to-face, the
following information must be added to the
copy (or supplied via email or text message):
• “Certi昀椀ed to be a true copy of the original
seen by me”.
• Where the document includes a
photograph of an individual, the following
statement must be included: “Image
certi昀椀ed as a true representation of the
original and likeness to the Individual”.
• The full printed name of the member
of staff, their role, department and
contact details.
• The signature of the certifying member
of staff.
• The date of certi昀椀cation.
Failure to certify documents to the required
standard may cause a delay in processing
the application.
Delivery of the vehicle
• If you use a third party to deliver the
vehicle, you should instruct them not to
deliver to any address other than the one
provided to them by yourselves, which
must match the address stated on the HPA.
• The vehicle must only be delivered to the
person named on the HPA.
• You must not release the vehicle to a
third party.
• You must take reasonable precautions
to ensure you are delivering to the right
person and retain copies of evidence of
their ID taken at the time of delivery, such
as a driving licence.
• Proof of delivery must be made available
to V12VF within 14 days of our request.
Failure to provide this information could
result in claw back of the loan amount paid.
Compliance with the VAT
Margin Scheme
The dealer will ensure that, where vehicles
are supplied under the VAT Margin Scheme
for second hand goods (“the Scheme”), the
conditions of the Scheme are met. In particular
purchase and sales invoices should meet the
VAT margin scheme requirements set out in
HMRC guidance. This can currently be found on
GOV.UK using the following link:
The Margin Scheme
• The vehicle must be delivered to the
address stated on the customer’s Hire
Purchase Agreement (HPA).
• Where delivery of the vehicle has been
unsuccessful, the vehicle must be returned
to the dealer and delivery or collection
rearranged. Under no circumstances should
the delivery or collection of the vehicle be
made to or from any other location.
